General Terms and Conditions for Participation
Holland Fisheries Event 2026
1.0 General
1.1 These terms and conditions apply to all activities related to the organization of the Holland Fisheries Event. The counterparty in these terms, referred to as the exhibitor, consists of tenants of (stand) locations at the exhibition to be held during the Holland Fisheries Event. The Holland Fisheries Event is organized by Projectbureau HFE on behalf of Stichting Visserijdagen Urk, hereinafter referred to as: the organization. The Holland Fisheries Event will be held at Koningshof in Urk, hereinafter referred to as: Koningshof. By signing the participation agreement, the exhibitor commits to comply with these general terms and conditions.
1.2 If a situation arises between the parties that is not regulated in these general terms and conditions, this situation shall be assessed “in the spirit” of these general terms and conditions.
1.3 These general terms and conditions apply to this agreement, to the exclusion of any other general terms and conditions.
1.4 If the exhibitor does not comply, or does not fully comply, with these conditions, the organization is entitled to deny access to the Holland Fisheries Event and/or instruct the exhibitor to immediately remove stand materials and exhibition items, without this giving rise to any claim for compensation by the exhibitor, and without prejudice to the exhibitor’s other obligations under this agreement, including payment of the agreed stand rental. The organization reserves the right to refuse prospective exhibitors.
1.5 Exhibitors who do not comply with the above provisions may be removed by the event organization. Upon removal, they forfeit the right to further participation and can no longer claim any refund of paid stand rental or additional participation costs.
2.0 Stand construction
The exhibitor is obliged to strictly comply with all government regulations regarding construction and furnishing of the stand, as well as the general conditions imposed by the management of the exhibition building, including:
- It is not permitted to attach objects of any kind to the building and/or its components in any way.
- Floor loads exceeding 500 kg per square meter must be discussed in advance.
3.0 Gas, water, electricity
3.1 The costs for connection and consumption of gas, water and/or power supply (380V), stand furnishing, and all costs related to the stand, as well as transport of goods and/or stand materials, are borne by the exhibitor.
4.0 The exhibitor is not permitted:
4.1 To use any space outside their stand or location for distributing printed materials or advertising without prior written permission from the organization.
4.2 To cause nuisance to other exhibitors in any form.
4.3 To burn incense, tealights or candles in the stand.
4.4 To bring own tables, chairs or other furniture without permission. If the exhibitor believes there is an urgent reason, this must be discussed with the organization in advance.
4.5 To organize lotteries or competitions during the Holland Fisheries Event without explicit permission from the organization and municipal authorization.
4.6 To carry out activities during event days that could cause damage to third parties or the event itself, or activities that fall completely outside the scope of the event without explicit permission.
4.7 To evade fire safety regulations applicable to exhibitions.
4.8 To make the stand location available to third parties, in whole or in part, without the organization’s knowledge, or to use it as a sales point for third-party activities.
5.0 Exhibition layout
5.1 The organization is entitled to determine the hall and space layout based on order of payment and/or previously made agreements. Preferences of exhibitors will be taken into account as much as possible.
5.2 Due to organizational circumstances, the organization may change the layout, taking earlier agreements into account where feasible.
5.3 Stand locations are rented for the full duration of the event as agreed. In case of force majeure changes, exhibitors will be informed.
5.4 Names of stand staff must be submitted in advance.
6.0 Liability
6.1 The organization is not responsible for damage to stands or items, injury to visitors, or theft. These risks must be insured by the exhibitor.
6.2 The organization is not liable for disputes between exhibitors.
6.3 The organization is not liable for errors or omissions in the Visserijnieuws Special.
6.4 The exhibitor is liable for all costs owed to the organization related to participation.
6.5 Liability of the organization is limited to the stand rental amount. The organization may dissolve the agreement in case of non-compliance.
7.0 Payment
7.1 Stand rental must be paid within 14 days of invoice date unless stated otherwise. Statutory interest applies after due date.
7.2 The organization may retain items until payment is complete. VAT applies.
7.3 Participation is official only after full payment.
7.4 Invoice disputes do not suspend payment obligations.
7.5 Late payment may result in withdrawal of stand allocation.
8.0 Catering
8.1 Only Koningshof catering may be used. Exclusive rights apply.
8.2 Bringing own food/drinks or appliances is not allowed, except demonstrations with permission.
8.3 Food provision requires written approval and compliance with authorities.
9.0 Smoke-free area
Smoking is prohibited on the event floor, catering area and conference rooms.
10.0 Force majeure
The organization may cancel the event without liability. Payments may be partially refunded after deduction of costs. Further provisions apply as described.
11.0 Furnishing materials
Fire regulations apply. Emergency exits must remain clear.
12.0 Build-up and dismantling
Stands must be dismantled within allocated time. Late removal may be carried out at exhibitor’s expense.
13.0 Cancellation by exhibitors
More than 3 months before event: 50% of stand rent.
Less than 3 months: 100%.
14.0 Hindrance, bankruptcy, suspension of payments
Special provisions apply; full rent may remain payable.
15.0 Insurance
Exhibitors must insure against damage and liability.
16.0 Stand staffing
Stands must be staffed during opening hours.
17.0 Miscellaneous
Dutch law applies. Lelystad District Court has exclusive jurisdiction.
18.0 Delivery of goods during event days
Only permitted with written approval.
Declaration by the exhibitor
By signing the participation form, the exhibitor agrees to these General Terms and Conditions for the Holland Fisheries Event, organized by Projectbureau HFE on behalf of Stichting Visserijdagen Urk.
